Job Description

Adams & Martin Group is partnering with a highly respected, multi-office law firm to identify an experienced Executive Assistant to support senior leadership. This role requires a polished, proactive professional who thrives in a fast-paced environment and can effectively manage competing priorities while handling confidential information with discretion.

Key Responsibilities

  • Manage complex executive calendars, meetings, and scheduling across multiple offices and time zones.
  • Track deadlines, action items, and firm initiatives to ensure timely completion.
  • Coordinate travel arrangements, including flights, lodging, and ground transportation.
  • Draft, proofread, and manage executive correspondence and reports.
  • Screen and prioritize incoming communications and requests.
  • Prepare meeting agendas, presentations, and supporting materials.
  • Take meeting notes and monitor follow-up items.
  • Serve as a liaison between leadership, staff, vendors, and external stakeholders.
  • Maintain organized digital and physical filing systems.
  • Assist with special projects, onboarding logistics, and cross-department initiatives.

Qualifications

  • 3+ years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role supporting senior leadership.
  • Prior experience in a law firm or professional services environment preferred.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • High level of professionalism, discretion, and sound judgment.
  • Bachelor's degree preferred; equivalent experience will be considered.

Preferred Experience

  • Supporting executives across multiple office locations or multi-state operations.
  • Familiarity with legal technology platforms and document management systems.
  • Exposure to HR, operations, payroll, or firm administration functions.
